Step 1: Review your file
We want to ensure you are adequately prepared for the dialogue and discussion that will take place during your hearing. One way to prepare is by reviewing your file. We highly recommend reviewing your file in advance of your hearing, so you can have a better understanding of exactly what was reported and why the potential policy violation(s) resulted in the charges on the notice letter. The student must request a file review at least two business days in advance. Reviewing the file will also help prepare you to write your written statement and compile any documentation you believe would be beneficial to discuss in your hearing.
As part of our approach to supporting you through the process, we offer two options to review your file.
Electronic File Review:
We will share a watermarked and redacted file with you electronically. You will agree to not copy, publish or otherwise disclose any part of your disciplinary record during the course of this process. Once our office has received your FDA, your file will be shared with you via Lionmail and Google Drive and will be available until the day of your hearing before expiring. Additionally, it can take up to 2-business days to complete the file distribution. In the event an item is not able to be shared via an Electronic File Review, CSSI will notify the you and schedule a Traditional File Review to review those items.
Access to the file will expire at the completion of the hearing. CSSI reserves the right to identify specific items that will not be shared in this manner as necessary to maintain compliance with federal privacy laws and to maintain the privacy of student records. If you prefer this option, please complete this File Distribution Agreement (“FDA”).
File Review:
Our office will schedule a time to meet with you either in-person or via zoom to review your file and answer any questions that you may have regarding the Student Conduct hearing process. During the File Review, the student will meet with a staff member, receive an overview of the Dean’s Discipline process, and will then be permitted to review their file. Files are watermarked and redacted as necessary to maintain compliance with federal privacy laws and to maintain the privacy of student records. Redactions may include removal of information that is not considered through the Dean’s Discipline process.
A student may only take notes (typed or written) on information contained in their file. The student may discuss procedural information about the Dean’s Discipline process; however, questions regarding the specificity of allegations, outcomes, and/or sanctions will only be discussed during the Dean’s Discipline hearing.
