I received a letter. What comes next?

We understand that outreach from our office can bring forward a number of questions, concerns or reactions.

We strive to be as transparent as possible about what you can expect when meeting with the Student Conduct team. The steps listed on the right provide a comprehensive overview of what you can expect from the student conduct process.

If you have questions beyond this overview, you can request a meeting with a member of our team, by emailing [email protected]

We also have created a list of community resources outside of our office that can provide support as you prepare for your meeting.

Notice and Scheduling

For a Dean’s Discipline hearing, notice will be sent via University e-mail and will include information related to the documented. Dates and times for disciplinary hearings are scheduled by CSSI in consultation with the student’s academic schedule to avoid conflict. The student is also informed of the next steps in the process and their ability to review the relevant documentation prior to the hearing. During the Dean’s Discipline process, the Hearing Officers reserve the right to add or modify the policy violation charges based on information gathered throughout the investigation to more appropriately reflect the nature of the incident. The student will be notified in writing of any such modifications.

A student’s participation in the Dean’s Discipline process is mandatory. Requests to reschedule hearings are typically only granted when there is an academic conflict. If a student fails to participate in the Dean’s Discipline process after the second scheduled hearing, a decision may be rendered in their absence.

During the end of term and summer session, the student is responsible for scheduling their hearing. The student must respond to the scheduling request within the timeframe outlined in the letter. If the student does not respond while actively enrolled during this timeframe, CSSI will schedule the student for a hearing at the next available date and time.

If a student has a medical emergency that requires the hearing to be rescheduled, CSSI may request that the student document this emergency with ODS for verification.

If a student requests a leave of absence or withdrawal, the student will be required to participate in the Dean’s Discipline process and may do so before leave, but must do so before returning to the University. If a report is received while a student is on leave, they will be expected to participate in the Dean’s Discipline process prior to completing their re-enrollment to the University.

What is a conduct review meeting / hearing?

First and foremost, we view ourselves as educators. If you are scheduled to meet with us to discuss potential policy violations, here are the goals for our conversation:

  • Review of Expectations: Take time to review the University Policies to ensure that you have an understanding of why you are meeting with us.
  • Reflection on Experiences: Provide a space you to reflect on the matter that was referred to our office, and what factors may have contributed to your referral.
  • Reframing of Behavior: An opportunity to reflect on different decisions that could have been made in the moment, as well as an opportunity to reflect on future decision-making.
  • Reflection on Resources: Sharing resources that are available should you need further support in this situation, or for future situations while at the University.

Please note that all conversations with Student Conduct is considered private and we ask that you be in a private space or location. If you are in need of a private space, please reach out to [email protected] so that we can coordinate with you to provide you a location.
